Proposal and invoice tool for consultants

Stop starting work on a verbal yes and an unraised PO

Sponsor and procurement open the same page: statement of work, fee, deposit and your terms. The client accepts the scope and pays the deposit by card or bank transfer, and both of you keep a dated record of it.

The problem

Sound familiar?

Work starts before the scope is accepted

The discovery call ends in a yes and you open the workshop prep that night. Three weeks later the statement of work is on version five and nothing has been accepted or paid.

The final invoice goes to accounts payable and waits

Delivery is accepted in the room. The invoice goes to a shared inbox, waits for a PO number nobody raised, and the 30 day term starts when someone finds the email.

While you're here

The statement of work said three workshops and a report. The report becomes a board deck, the change request you meant to raise was never written, and the extra fortnight goes unpaid.

The solution

How VytDeal helps

1

The statement of work is the page

Objective, scope, deliverables, timeline, fee and terms, agreed before work starts as the IMC code expects. Offer a paid discovery, the full engagement and a monthly advisory retainer as packages, and the client picks one.

2

Deposit on approval, balance on the same page

Any percentage, 30 by default, up to the full fee; half upfront is common among independents. The client pays it on approval and the balance on the same page when you deliver; GST is its own line at 10 percent. A change request is its own page.

3

Accounts payable pays by bank transfer

Switch on bank transfer, BPAY or PayID for the deal alongside card. The client pays from their own system, marks the transfer made, and you confirm it. The invoice is created the moment they approve.

4

A dated record of exactly what was accepted

Approval produces a record of what the client was shown and accepted, with the complete terms, kept by both of you.

How it works

Three steps to getting paid

1

Write the statement of work as the page

Scope, deliverables, timeline and fee, with payment terms, acceptance criteria and change request process in the terms. Set the deposit and save it as a template for the next engagement.

2

Send one link to the sponsor and to procurement

Nobody needs a login, so the sponsor and the person raising the PO can both read it. You can see whether it has been opened.

3

Accept, pay, deliver

The client accepts the scope and the invoice is created. The deposit is paid by card or by bank transfer that you confirm; you deliver, mark it delivered, and the balance is paid on the same page.

FAQ

Frequently asked questions

Can a company pay by bank transfer against a purchase order?

Yes. Offer bank transfer on the deal; accounts payable pays the invoice as they pay any supplier and marks it paid on the page, and you confirm it when it lands. Write the PO number into the project name so it prints on the invoice. The invoice prints your name, email, the project and the package; it does not print an ABN, so put yours in your terms.

Can I take a deposit, then bill milestones or days in arrears?

A deposit and a balance on one scope, yes; a later phase is its own page with its own deposit. Variable days in arrears are not something it does: sell a block of days as a fixed fee, or advisory access as a monthly retainer.

Will a 30 day term show as due in 30 days, not on approval?

The invoice carries no due date of its own: the deposit falls due at approval and the balance when you deliver. Put your 14 or 30 day term in the terms the client accepts; a client on bank transfer pays within it and marks it paid.

Is the accepted deal page a contract?

No. It is a dated record of acceptance: what the client was shown, what they accepted, the complete terms and when. Put the statement of work's own clauses in the terms, who signs off a deliverable, what a change request costs, and the record shows each accepted. A code sent to the sponsor's inbox confirms the acceptance too, if you require it for the deal. It is not a contract, an e-signature or legal advice; your agreement does that work.

Can a retainer bill monthly while a project runs alongside?

On one page the retainer waits: the client approves both together, the project is paid as deposit and balance, and you start the monthly fee once the project is delivered. A retainer that must run from day one gets its own page.
