Proposal and invoice tool for social media managers
Stop chasing the same retainer every month
Ad spend stays on the client's card and the notice period sits in writing before a single post goes out. One approval covers the packages and the terms; the monthly fee then collects itself.

Sound familiar?
Twelve invoices for one agreed fee
The retainer was agreed in February. Every month since you have raised the same invoice and waited: half pay inside the week, the rest need a reminder while the content is already going out.
Ad spend lands on your invoice, and so does the argument
A client asks you to run the campaign from your card and bill it back. Fee and ad budget blur into one number, and when results disappoint the dispute is about your invoice, not their budget.
Two extra posts and a rush reel, every week
The package said twelve posts a month and two rounds per asset. By week three it is a launch story, a Friday reel and a third round on the carousel, and none of it was priced.
The solution
How VytDeal helps
A retainer that bills itself from one approval
Set the package to recur monthly, or weekly, fortnightly, quarterly or yearly. The client approves once; the fee is collected from a saved card or bank debit, or invoiced each period, until you cancel it at the period end or immediately, or the client cancels at the period end.
Minimum term and notice period, accepted in writing
Three month initial term, 30 days' written notice, two rounds per asset, a variation process for rush requests: your terms sit above the approve button, and approval produces a dated record of exactly what the client accepted. Holding them to it is yours to do.
Ad spend stays off your invoice
The deal carries your fee and nothing else; ad spend stays on the client's own card at Meta or Google, and the package says so. GST, if you charge it, sits on the fee as its own line at 10 percent. If you are not registered, nothing is added.
The client looks after their own card
A client on a retainer updates their card or cancels through a Stripe portal link emailed to them, so you never hold card numbers. You can also see whether the page has been opened before you follow up.
How it works
Three steps to getting paid
Build the package
Name the platforms, posts per week, community management or not, reporting cadence, revision rounds and how long the client has to approve content, and make it recur monthly. An onboarding fee goes in front as the one-off part.
Send one link after the discovery call
The client opens it without an account and reads scope, price and terms on one page. If they go quiet, you can see whether they have looked.
Approve once, then it runs
The client approves and saves a card or bank debit, or you invoice each month. A retainer alone runs from that approval; one with onboarding in front waits until you mark it delivered and start it.
FAQ
Frequently asked questions
Does the retainer bill itself every month, in advance?
It bills itself each period from one approval, on the cycle you set. Most ongoing social media management is a monthly retainer billed in advance; say so in the package and it is part of what the client accepts.
Can I set a three month minimum, then 30 days' notice?
Yes, in your own words. Term, notice period and what early exit costs go in the terms the client accepts, and the dated record carries them in full. A code emailed to the client at approval is there if you require it for the deal. VytDeal does not enforce the term; it gives you their dated agreement to it, a record of acceptance rather than a contract or an e-signature, and VytDeal gives no legal advice on the term.
Can ad spend stay off my invoice entirely?
Yes. The page carries your management fee only. Write into the package that ad spend is paid by the client to the platform from their own card and is excluded from the fee.
Can the client update their own card without me?
Yes. A client on a retainer gets a Stripe portal link by email and updates the card, or cancels, there. You are not sent card details and never key them in.
Can the first month carry a one-off onboarding fee?
Yes. Many social media managers charge one, and it is the one-off part of a package set to One off, then ongoing. Set the deposit at 100 percent and it is paid on approval; you start the monthly fee once onboarding is delivered.
