Your clients pay everyone else before they pay you

The problem

Sound familiar?

Reconciling their books while chasing your own invoice

You know which clients pay late, because you code their payments. Yours is the invoice at the bottom of the pile, and the reminder you send is one more unbilled hour.

The quick catch-up that is two years deep

You open the Xero or MYOB file: eighteen months uncoded, no bank reconciliation since the last lodged BAS, personal spending through the business account. The quote you gave on the phone is already wrong.

BAS lodgement assumed to be inside the package

The package said monthly bookkeeping. At quarter end the client expects the activity statement lodged for the same fee, and if you are not a registered BAS agent you cannot lodge it for a fee at all.

The solution

How VytDeal helps

1

A fixed fee package that bills itself

Monthly or quarterly, the package bills itself from one approval: a saved card or bank debit, or an invoice each period, until you cancel it at the period end or immediately, or the client cancels at the period end.

2

Catch-up as deposit and balance, then the package

The catch-up is the one-off part of a package the builder calls One off, then ongoing. The deposit, 30 percent by default and commonly half, is paid on approval and the balance on the same page when you deliver the clean file; then you start the monthly fee.

3

Engagement terms accepted in the same approval

Fee basis, billing frequency and payment timeframe, which the TPB expects in an engagement letter, go in the terms above the approve button, with the notice period, the BAS services included and who pays for the software; approval produces a dated record of exactly what the client accepted.

4

GST as its own line, paid the Australian way

GST sits as its own line at 10 percent when you charge it; no ABN is printed, so state yours in the engagement terms. Offer bank transfer, BPAY or PayID too; the client marks the transfer made and you confirm it. No login is needed, so an owner who never opens Xero can still pay.

How it works

Three steps to getting paid

1

Price the package and the catch-up separately

List transaction volume, reconciliations, payroll and reporting, and say whether BAS lodgement is included. With a backlog, price the catch-up as the one-off part in front of the package. Paste your engagement terms into the terms.

2

Send the link after the file review

The client reads the package, the catch-up price and the terms on one page, with no account to create; you can see whether they have opened it.

3

Approve once

The client approves and pays the catch-up deposit; the invoice is created for you. When the file is clean you mark it delivered, take the balance and start the package.

FAQ

Frequently asked questions

Can the package direct debit itself in advance, by card or by bank?

Yes. A recurring package is collected from a saved card or bank debit, as you choose, from the one approval, or invoiced each month if you prefer. Say in the package that the month is billed in advance and that is what they accept.

Can my engagement letter be accepted in the same approval as the proposal?

Your engagement terms can. Paste the letter's clauses into the terms, the client ticks them with the proposal, and the dated record holds them complete. The client also confirms the approval with a code emailed to them, if you require one. The page records acceptance, not a contract or an e-signature, with no legal advice; the letter stays your document.

Can a catch-up be deposit plus balance, with the package starting afterwards?

Yes, in one approval. The catch-up is the one-off part and the monthly fee the ongoing part. The deposit is paid on approval, the balance when you deliver, and you start the monthly fee once the catch-up is delivered.

Can I change the package price when the client's volume changes?

Not on the page they accepted. Send the new package as a new page, the client approves it, and you cancel the old retainer at its period end so nothing is billed twice; a part period is not prorated.

How is this different from Ignition?

Ignition is built for practices and bundles proposals, engagement letters and billing with client management. VytDeal is the one link for the package, the engagement terms, the invoice and the monthly debit, with no practice management and no client messaging. Your ledger stays where it is, in Xero or MYOB, and nobody installs anything.
