Proposal and invoice tool for virtual assistants

Your 20 hour package should not need a new invoice every month

Your packages and your terms on one link. The client picks a block of hours or a monthly retainer and approves once: the block is paid at once, the retainer bills itself monthly.

The problem

Sound familiar?

Inbox management becomes travel and supplier research

You were hired to run an inbox. By the second month you are booking flights, cleaning a spreadsheet and chasing supplier quotes, and the fee has not moved.

The rollover argument

A client used six of twenty hours in March and expects fourteen in April. Your policy says packages expire after 31 days and never roll over, but it sits in an email from last year that nobody can find.

Chasing the retainer on the first of the month

The invoice goes out on the first. Some pay in a day, some after a reminder, one after three, and the work is under way before the money arrives.

The solution

How VytDeal helps

1

Hour blocks and retainers as packages on one page

Offer a 10 hour block, a 20 hour block and a monthly retainer, and the client picks one. A once-off block is paid in full on approval when you set the deposit to full payment, as hour packages are. A 20 hour package sold monthly is a recurring package that bills itself each month from the one approval, and so is the retainer.

2

Expiry, rollover and response times in the accepted terms

The 31 day expiry, no rollover, your response times and how out-of-scope tasks are priced go in the terms above the approve button, and approval produces a dated record of exactly what the client accepted. No more lost emails.

3

Collected the way you choose

A retainer is collected from a saved card or bank debit, or invoiced each period, and runs until you cancel it, at a period end or immediately, or the client cancels at the period end. The client updates their card through an emailed Stripe portal link.

4

GST only when you charge it, paid the Australian way

GST is off until you switch it on for a deal, then sits as its own line at 10 percent. Alongside card you can offer bank transfer, BPAY or PayID; the client marks the transfer made and you confirm it.

How it works

Three steps to getting paid

1

Set out the packages

Name the hours, tasks, channels and response time for each package, and put the expiry, the rollover rule and any minimum term in the terms. Save it as a template for the next client.

2

Send the link

One link, no login. The client reads the packages and the terms, and you can see whether they have opened it. Give the proposal an expiry so an old price cannot be accepted later.

3

Approve, pay, start

The client approves and pays. A retainer runs from that approval and bills itself each month until it is cancelled.

FAQ

Frequently asked questions

Can I sell a block of hours and a monthly retainer from one tool?

Yes, on one page: the block is a one-off package, the retainer an ongoing one, and the client picks. Set the block's deposit at 100 percent so it is paid in advance, as hour packages are. The retainer is charged to a saved card or bank debit, or invoiced.

Can the 31 day expiry, no rollover and a minimum term sit in what the client accepts?

Yes. They go in your terms above the approve button, the client ticks acceptance with the proposal, and the dated record carries them in full. An emailed code at approval is there if you require one. VytDeal does not enforce the minimum term or the expiry; it gives you the agreement to point to, a record of acceptance rather than a contract or an e-signature, with no legal advice from VytDeal.

Can a client pause a month without cancelling?

No, there is no pause. A retainer either runs or is cancelled, at the period end or immediately. For a break, cancel at the period end and send the package again when they return; nothing is charged in between.

I am not GST registered. Will GST be added to my invoices?

No. GST is added to a deal only when you switch it on, so leave it off and your price stands. When you register, turn it on and GST shows as its own line at 10 percent. The heading reads Invoice either way.

Does VytDeal track my hours?

No. It is the proposal, the invoice and the payment on one link, with no timesheet in it. Keep your own log of hours against the block; the page settles what the client agreed to pay for, and when.
