Proposal and invoice tool for graphic designers

Concepts sent on a promise, final artwork sent before the balance

The brief you priced, the rounds included and your usage terms, approved and paid for on one page. No concept starts until the deposit is in, and the final artwork waits for the balance.

The problem

Sound familiar?

The brief grows between the quote and the first concept

You priced a logo and two concepts. By kickoff it is a logo, a sub-brand, social templates and 'something for the van'. The number in your email never moved, so every addition is yours.

Revisions that never count as revisions

Two rounds were included. A colour change on Monday, a font swap on Tuesday and 'one more small thing' on Friday, each a message rather than a round. Round two never starts and the hours keep going.

Final files sent, invoice ignored

You exported the final artwork so they could make the print deadline. They made it. The balance invoice sat for six weeks; the request for the working files arrived before the money did.

The solution

How VytDeal helps

1

Price the job the way you actually sell it

One price for an identity, or a single piece: a deck, a packaging dieline, a run of social templates, a day of amendments. Packages to choose between, with one-off lines for extras: source files, an extended licence or a full assignment.

2

Deposit before any concept, balance before the final artwork

Any share, 30 percent by default; half before work starts is the usual ask. It is paid on approval, so no concept starts on a promise. Mark the work delivered and the balance comes due on the same page, before the files go.

3

Your licence and revision rounds in the accepted terms

Your terms on the page: what a round is, how many are included, the hourly rate for extras, copyright passing on full payment, what the licence covers. The client ticks them to approve and the record carries them in full.

4

GST on its own line, paid by card or bank transfer

The invoice is created on approval, with GST at 10 percent, or any rate, as its own line. Card is paid through Stripe into your own account; on any deal you can also offer bank transfer, BPAY or PayID.

How it works

Three steps to getting paid

1

Set out the job

List the concepts, the rounds, what is delivered as final artwork and what is extra. Add your terms and the deposit share, set the expiry date, and save it as a template.

2

Send one link

The client reads it without an account, picks a package if you offered several, and approves. The deposit is paid on the same page.

3

Design, deliver, get paid

You can see whether they have opened it yet. When the artwork is ready, mark it delivered and the balance comes due on the same link, and the final files wait until it clears.

FAQ

Frequently asked questions

Can I take a non-refundable deposit of 50 percent before I start?

Set the deposit share to 50 and it is paid as they approve. Whether it is kept on cancellation is your term: say so on the page in plain words and the client ticks it.

Can I hold the final and working files until the balance clears?

Yes. Mark the work delivered when the artwork is ready, the balance comes due on the page, and the files go once it is paid. Whether working files are included is a term for your page; many designers price them as an extra line.

Can I state the included revision rounds and charge extras hourly?

Yes. Put the rounds in the package and the hourly rate for extras in your terms. Extra rounds after approval are a change: the accepted scope cannot be edited, so a priced variation gets its own deal page with its own approval and record.

Does the usage licence and copyright-on-payment clause sit in the proposal?

Yes, in your terms, which the client must tick to approve. Write the licence the AGDA way: limited to the purpose and media described, copyright passing only once you are paid in full, concepts and source files staying yours. The record holds those terms and the price together, dated. Switch on the emailed code if you require it, and the approval is tied to the client's address as well. VytDeal gives no legal advice; it records the acceptance, is not a contract or an e-signature, and leaves the contract to you.

Do clients have to pay by card?

No. Offer bank transfer, BPAY or PayID on that deal and the client says when they have paid; you confirm it against your statement and the page moves on.
