Proposal and invoice tool for web designers

The site is on staging and the balance is on a promise

The deposit at approval, the balance before go-live, both paid on the page the client approved. Scope and rounds sit above the price, so staging stays staging until the money clears.

The problem

Sound familiar?

Round three becomes round nine

You wrote 'two rounds' in the quote. Feedback arrives one email at a time, each a round to you and a tweak to them. With a round never defined in a scope they approved, the hours are yours.

The balance is due before go-live, and they want it live first

The site is finished on staging. They want it live before they pay; you want the money before you point the domain. Nothing in the thread says which comes first, so you launch on a promise.

Who owns the domain comes up after the falling out

The quote never said whose name the domain and hosting sit in. A year on they want to move and the login is yours, or the hosting lapses and the site is theirs to lose.

The solution

How VytDeal helps

1

Packages with the rounds written in

A one page site, a business site and a custom build as packages, each listing the pages, the rounds, what a round means, and the exclusions: domain, hosting, content. The client picks one and that is the scope.

2

Deposit on approval, balance before go-live

Set the deposit at any share, 30 percent by default; most studios set it at half. It is paid on approval. Mark the build delivered and the balance comes due on the same page, so the DNS change waits until it clears.

3

Card, bank transfer, BPAY or PayID, your call per deal

Card goes through Stripe into your own account. Per deal you can also offer bank transfer, BPAY or PayID; the client marks the transfer made and you confirm it. GST at any rate is its own line on the invoice.

4

A care plan that bills itself after launch

The build goes on the page as one-off lines and the plan as a monthly package. One approval saves the client's card or bank debit. You start the plan at go-live and it collects each month until cancelled.

How it works

Three steps to getting paid

1

Write the scope once

Add the packages, the rounds, the exclusions and your own terms. Set the deposit share, GST and the date the quote expires. Save it as a template.

2

Send the link

The client opens it without an account, reads the scope and terms, picks a package and approves. The deposit is paid on the spot.

3

Build, deliver, launch

The page tells you when it has been opened. When the build is ready on staging, mark it delivered; the balance comes due on the same link. Point the domain once the money is in.

FAQ

Frequently asked questions

Can I take 50 percent now and hold go-live until the balance clears?

Yes. Set the deposit to half and it is paid on approval. The balance comes due when you mark the work delivered, so show the site on staging, mark it delivered, and go live once the balance is paid.

Can the care plan run as a monthly charge after the build?

Yes, from the same approval. A package can recur monthly, quarterly or yearly, collected from a saved card or bank debit, or invoiced each period. With the build on the same page as one-off lines, nothing is charged until you start the plan at go-live; a care plan sold on its own starts at approval. Cancel at the period end or straight away.

Do my own terms attach: revision rounds, hosting, the domain in the client's name?

Yes. Put them in the terms: what a round is and how many are included, the domain and hosting in the client's name, code transferring once the last invoice is paid. The client ticks those terms to approve and the dated record holds them beside what they were shown. The approval also carries a code the client received by email, if you require it. VytDeal records that acceptance, is not a contract or an e-signature product, and gives no legal advice; the contract itself is yours to supply.

Can clients pay by bank transfer rather than card?

Yes. Per deal you choose whether to offer bank transfer, BPAY or PayID as well as card. The client tells the page they have paid, you confirm it against your statement, and the deal moves on.

What happens when the client asks for something outside the scope?

Point at the approved scope and price the change. A change after approval is a new deal page, because the accepted scope cannot be edited, so the build and the variation each carry their own approval, invoice and record.
